Live Show Checklist: Everything I Prep Before a Gig as a Vocalist
Whether I’m performing for an intimate private event, vibing through a live show with dinner and cocktails in metro NYC, or taking the stage at an outdoor summer festival, I never arrive without my go-to gig checklist. After 15+ years of singing professionally at everything from jazz lounges to high-energy R&B shows, I’ve learned that solid preparation is the real secret to a great live performance. Almost every lesson I’ve learned along the way points back to this: what you bring to the gig matters - in a big way. (Major key alert — shoutout to DJ Khaled.)
When my schedule for live performances was first gaining momentum, I kept a running tab in my phone that I called, aptly: “Lessons Learned”. It was a catch-all notes section where I would religiously type out any and everything that went well, wrong, weird (and everything in-between) so that I could assess post-show and find a solution. Hence, the creation of this checklist. 🪄
🗂️ Why a Checklist Saves the Show (and Your Sanity)
I’ve found that my ease, energy, performance and mental state before a show have largely been attributed to my preparedness (and a well-thought-out process/ritual). I am all about purposeful actions so my checklist has helped me to lead with intention even when I’m wearing five different hats by overseeing the flow of the show, communicating with the Band, handling my own tech setup, etc. This list alleviates confusion, it cuts through the chaos of the pre-show whirlwind/nerves and keeps me centered so that when it’s time to open my mouth, I’m able to focus on the music and find freedom in the soundscape my Band and I are curating. So! Without further ado…
If you’re an emerging singer, bandleader or just a music lover who’s curious about the behind-the-scenes life of a working Vocalist, here’s an inside glimpse into my personal, hard-earned and hard-learned list of essentials. Plus! I’ve designed a free, downloadable checklist if you want to use mine and make it your own.
✅ My Gig Day Essentials
Note: Below is an example of when I believe more is more ha. I’ve included *all* the things in case your show requires you to provide sound, glam, etc. Adjust as needed!
🎤 Vocals + Tech
My own mic + XLR cable (male to female).
Pro Tip: I bring my own mic, always. If you’re unfamiliar with the Tech Crew or Venue, it always helps to have a backup, just in case. (We don’t want - or need - any sad stories…lol.)
In-ear monitors or floor monitor(s) for you and the band
Mixer for any added vocal effects on-stage
Multiple cables, extension cords, power cords, surge protectors
Vocal warmups recorded on device
iPad/Tablet with sheet music, gig and rehearsal notes for the band, etc.
Pro Tip: Have your devices on Airplane mode, if possible, because Bluetooth/WiFi interference is REAL!
Water bottle (keep it cute and customized!)
Black Towel (because sweat - and random drink spills - happen)
👗 Wardrobe + Beauty
Performance outfit in garment bag — steamed, pressed, and tested for movement
Portable Steamer (crucial when travelling via plane or train)
Backup accessories (in case of broken earrings or jewelry snags/tangles)
Comfortable, stage-appropriate shoes (I, personally, like my heels sky high 👠)
Mini glam kit/makeup bag: blotting powder/sheets, lipstick, mini perfume, etc.
Note: this is if you’re travelling makeup-ready. If makeup is to be done onsite, bring your full kit!
Safety pins, fashion tape, and static guard (trust me)
Travel-friendly sizes of hair necessities: bobby pins, hair accessories, gel, hair spray, sheen, comb/brush, etc.
🧠 Mindset + Materials
Printed and digital set list (plus band copies, if needed)
Pre-show playlist to get in the zone while setting up/getting ready
Phone (notes app) or Pen and notebook for quick notes
Printed show notes or cues for MD/band
Prayer and/or words of affirmation
🔌 Random But Crucial
Phone charger and/or a *charged* backup battery pack
Gaff tape (for securing cords, taping down your large-font, printed setlist to the floor, if needed)
Business cards or QR code promo cards (for your newfound fans/industry contacts!)
Lozenge stash + a few mints
Mini snack for post-show (nuts, bar — something easy on the stomach and portable)
USB drive and/or folder on device with show tracks, if needed (just in case)
🔑 Pro Tip: Prep Before the Day Of
If your show is on a Saturday, start packing and running through your checklist no later than the Thursday prior to showtime. That 48-hour buffer gives you a chance to add items and/or tasks, replace, fix, or pack anything missing without rushing. Trust me: as a former, chronic Procrastinator, your future self will thank you…I promise.
